About Shelterwood Collective

Shelterwood Collective is a collaborative ecosystem of 300+ healers — psychotherapists, counselors, bodyworkers, energy, and soulcare practitioners —serving individuals, relationships, families, and communities in the greater Seattle area and throughout Western Washington. We steward a 6,000 sq. ft. community space in Pioneer Square, a curated apothecary, continuing education offerings, gatherings and retreats, a free client-matching service, and shared business services including medical billing administration.

The Role

We’re looking for a detail-oriented, people-centered Membership Coordinator to steward our new member process — from first interest to full onboarding and integration into our community. This is a part-time, hourly role running approximately 7–10 hours per week with seasonal variability — busier during active application and interview periods and lighter in between.

This person will manage our quarterly cohort cycles, guiding prospective Collective and Affiliate members through each stage of the journey. They’ll work closely with Shelterwood leadership and the billing team, keeping the process warm, organized, and running smoothly.

The role is primarily remote with occasional in-person presence in the Seattle area for Q&A sessions and member orientations.

What You’ll Do

Ambassador to Prospective Members

  • Serve as the first point of contact for prospective members — responding to inquiries, sharing information about Shelterwood, and helping people find their way into our discovery process.

  • Coordinate and support regular Q&A sessions (virtual and in-person) for prospective Collective and Affiliate members.

Membership Pipeline Management and Stewardship

  • Oversee our CRM’s membership pipeline, ensuring that records are accurate and current, communications are responsive and timely, and initiating process improvements.

  • Answer questions as they come up from applicants about Shelterwood membership.

  • Coordinate group interviews alongside Shelterwood leadership and facilitate any additional conversations needed before invitations are made.

  • Coordinate with the leadership team to make final decisions about invitations, waitlists, and declines. Initiate communications of decisions. Send out and follow up on the submission of contracts to new members.

New Member Onboarding & Community Weaving

  • Initiate and coordinate onboarding tasks with the Onboarding Team.

  • Coordinate logistics of new member orientations, both in person and virtual.

  • Serve as a point of contact and support for new members in their first months in the community.

Communications and Organization

  • Keep our applicant tracking, CRM, and onboarding tools accurate and up to date.

  • Help maintain and update website content, application forms, and FAQs in coordination with organizational priorities.

  • Collect both member and Shelterwood team feedback to support continuous improvement of recruitment and onboarding process.

Who You Are

Required

  • Deeply organized, proactive, and reliable — you keep multi-step processes on track without things slipping through the cracks

  • A warm, clear communicator who makes people feel welcomed and informed at every stage

  • Relational and emotionally intelligent, with an ability to embody Shelterwood’s values in everyday interactions

  • Self-directed and comfortable managing your own schedule across a variable workweek

  • Able to hold confidentiality and sensitive information with care

  • Comfortable working across multiple digital tools and able to learn new systems quickly

  • Based in the Seattle area and available for occasional in-person presence

Strongly Preferred

  • Current or former Shelterwood Collective or Affiliate member, or someone with deep familiarity with the Shelterwood community and its values

  • Experience as a practicing mental health professional with insurance billing

Major Plus

  • Experience with membership coordination, admissions, or community onboarding

Compensation & Benefits

  • Reports to: Director of Collective Development

  • Hours: 7-10 hours a week with seasonal variability

  • Employment type: Hourly

  • Rate: $30 an hour

  • Format: Hybrid — primarily remote with occasional in-person presence at our home space in Pioneer Square

  • Schedule: Flexible, with availability needed for some daytime hours and occasional in-person events
