About Shelterwood Collective

Shelterwood Collective is a collaborative ecosystem of 300+ healers — psychotherapists, counselors, bodyworkers, energy, and soulcare practitioners —serving individuals, relationships, families, and communities greater Seattle area and throughout Western Washington. We steward a 6,000 sq. ft. community space in Pioneer Square, a curated apothecary, continuing education offerings, gatherings and retreats, a free client-matching service, and shared business services including medical billing administration.

Our work is relational, people-centered, and grounded in care. Community is our medicine is our mantra and we believe strong, sustainable systems are in service of this. 

The Role

The Operations Manager is a central nervous system role at Shelterwood Collective. You support the CEO and leadership team by holding operational coherence across people, projects, space, and systems—so the organization can function with clarity, rhythm, and care.

This is a hands-on, high-trust role for someone who loves creating order, tending systems, and being a steady presence inside a living, breathing organization.

You are both canopy-level and mycelial: able to see the big picture while staying connected to the day-to-day realities that keep everything moving.

What You’ll Do

EXECUTIVE & ORGANIZATIONAL SUPPORT

  • Serve as a primary point of contact and support for the CEO, stewarding incoming requests, communications, and follow-through

  • Manage calendars, meetings, priorities, and project tracking with thoughtfulness and discretion

  • Support email management, documentation, and preparation for meetings and decisions

OPERATIONS & SYSTEMS STEWARDSHIP

  • Hold awareness of the organizational whole, weaving together project management, resource coordination, and team workflows

  • Lead strategic internal projects (e.g. employee handbook creation, systems documentation, process refinement)

  • Support compliance-related tasks and coordination with vendors, contractors, and partners

  • Champion adoption and effective use of our CRM (Monday), supporting team with building workflows, contact management, and systems hygiene

RELATIONAL STEWARDSHIP & COMMUNITY INTERFACE

  • Serve as a warm, grounded point of connection for Shelterwood—building relationships with team members, collective members, prospective members, and community partners

  • Steward our mission and values in everyday interactions, helping others understand who we are, how we work, and what collaboration at Shelterwood feels like

  • Support membership growth and engagement by responding to inquiries, facilitating introductions, and helping prospective members feel welcomed and oriented

  • Tend the relational fabric of the organization—tracking follow-ups, noticing patterns or needs, and supporting healthy communication across the ecosystem

SPACE & COMMUNITY OPERATIONS

  • Serve as the point person for our Pioneer Square building

  • Steward relationships with space members, vendors, and landlords

  • Coordinate maintenance, supplies, inventory, and physical space needs

  • Support tours and onboarding for new space members 

PRACTICAL SUPPORT

  • Handle practical, real-world tasks that support smooth operations (supply runs, maintenance coordination, pickups, etc.)

  • Bring a grounded, “let’s just take care of it” energy to whatever needs tending

Who You Are

    Comfortable moving between big-picture thinking and hands-on execution

  • Finds satisfaction in creating systems that actually work for people

  • Able to hold confidentiality and sensitive information with care

  • Experienced in operations, executive support, office management, or similar roles

  • Comfortable driving and being physically present in space

  • G-Suite (Gmail, Google Drive/Documents/Sheets, GCal)

  • Squarespace (Web + marketing platform) 

  • Asana (project manage tool)

  • Monday (contact relationship management software)

  • Canva (graphic design) 

  • Sessions Health (HIPAA compliant electronic health records system) 

COMPENSATION & BENEFITS

  • Reports to: CEO

  • Hours: 32-40 hours

  • Employment type: Full-Time; W2

    • Payroll taxes covered (i.e. FICA, Medicare, L&I)

  • Salary: $75,000-90,000/year, depending on experience, skill set, and scope

  • Format: This role requires mostly in person presence at our home space in Pioneer Square with the opportunity to also work remotely occassionally 

  • Paid time off 

    • 1 hour earned per 40 hours worked

    • 10 paid holidays 

  • Paid sick and family leave 

    • 1 hour earned for every 40 hours worked (not including overtime)
